1. Booking & Payment Terms
1.1 Booking Process
Bookings must be made in writing via email to info@bcagency.dk or simply fill out our quote formular. Upon confirmation, a booking confirmation, invoice, and a secure payment link will be provided. A booking is only valid once confirmed by Black Car Agency.
1.2 Invoice and Payment
The total amount on the invoice of any booking must be paid at least 24 hours before the scheduled service, in the currency stated on the invoice. If a booking is made within 24 hours of the scheduled service, full payment is required upon receipt of the invoice and payment link.
No service will be conducted if the full payment is not received by Black Car Agency, before the scheduled service.
1.3 Late Payment
If payment is not received by the due date, we reserve the right to cancel the booking. A late payment fee of 10% of the total booking amount will be applied to payments received after the due date.
1.4 Prices & Taxes
All prices are final and include applicable taxes. Any additional services or changes requested after the issue of the invoice, will result in an updated invoice reflecting the new total.
2. Cancellation Policy
2.1 Cancellation of a Booking
Clients have the right to cancel a confirmed booking, provided they adhere to the cancellation procedure outlined in section 2.2.
2.2 Cancellation Procedure
Cancellations must be made in writing via email to info@bcagency.dk and will only be considered valid once confirmed by Black Car Agency. The email must include the Trip ID from the booking confirmation.
2.3 Cancellation Fees
Cancellations made more than 72 hours before the scheduled service are free of charge.
Cancellations made less than 72 hours before the scheduled service will incur a cancellation fee of 100% of the total booking price.
3. Changes to a Booking
3.1 Changes to a Confirmed Booking
Requests for changes to a confirmed booking, such as modifications to the pick-up or drop-off locations, timings, or route, must be made via email to info@bcagency.dk or by text message or WhatsApp message to +45 44 11 72 85, including the Trip ID from the booking confirmation. Requests should be submitted as soon as possible to ensure a smooth service. Changes will only be valid once confirmed by Black Car Agency and may result in additional charges.
Any changes made more than 72 hours before the scheduled service are free of charge.
Any changes to the pick up time or pick up location that affects the already confirmed start time within 30 minutes, will be made free of charge when confirmed 24 hours before the scheduled service. If the change exceeds 30 minutes or is requested less than 24 hours before the scheduled service, a waiting time fee will be charged for every additional 30 minutes, as stated on the price list.
4. Meeting Point, Waiting Time & No-Show
4.1 Transfers from Copenhagen Airport
The chauffeur will be waiting in the arrival hall holding a sign showing the desired name, text or logo. If the chauffeur can’t be located, please contact the office at +45 44 11 72 85.
For transfers from Copenhagen Airport, 60 minutes of waiting is included in the price. If there are any delays, please contact the office at +45 44 11 72 85. If no contact has been made within the 60 minutes of waiting time, the booking will be considered as a no-show, and the chauffeur will leave the site with no refund provided.
If the chauffeur is required to wait for more than 60 minutes, a waiting time fee will be charged for every additional 30 minutes, as stated on the price list.
The chauffeur will track the aircraft's live location and will be at the airport when it arrives. If the aircraft is arriving within 30 minutes of the scheduled arrival time, no extra costs will apply. If the aircraft arrives more than 30 minutes before or after the scheduled arrival time, an additional 50% of the original price will apply.
4.2 One-way transfers
For any one-way transfer, 10 minutes of waiting time from the scheduled service is included in the price. If there are any delays, please contact the office at +45 44 11 72 85. If no contact has been made within the 10 minutes of waiting time, the booking will be considered as a no-show and the chauffeur will leave the site with no refund provided. For waiting times exceeding 10 minutes, a waiting time fee will be charged for every additional 30 minutes, as stated in the price list.
4.3 No Contact with Chauffeur During Waiting Time
If no contact has been made with the chauffeur during the included waiting period and the chauffeur leaves the site, Black Car Agency will not be responsible for any additional transportation costs.
5. Additional Information
5.1 Smoking
Smoking is strictly prohibited in all of our vehicles. A smoking fee of DKK 5.000 will be charged in case of any violation of this policy.
5.2 Chauffeur’s Compliance with Traffic Laws
The chauffeur is always bound by Danish traffic regulations, laws, and applicable stopping and parking regulations.
